Module Contractors - how to use it

Who can use this feature?

The feature is available to users of the Trans for Forwarders (TFF) and CargoON product lines who have access to the Contractors module.

In this article you will learn:

  • how the Contractors module can become a useful database,
  • what is the difference between an exchange relationship and a contractor relationship,
  • how to navigate the module.

Functions of the Contractors module

The Contractors module collects information about companies with which your organization cooperates or may start cooperation. It combines the perspective of the Trans.eu directory with the history of real business contacts, so in one view you can quickly verify:

  • security of cooperation (documents, certificates, alerts, risks),
  • quality of cooperation (ratings, responsiveness, acceptance of offers),
  • business results (transactions, directions, tenure),
  • organizational connections (groups, exchanges).

The list view and company drawer are designed to enable quick segmentation of partners, risk analysis and preparation for operational activities.

Relationships in the module

Relationships determine why a particular company appears on the list and what actions you can take against it. Two main types of relationships are visible in the module: contractor and exchange.

Exchange relationship - results from business relationships established on the exchange (e.g. order fulfillment) and from belonging to a common exchange (e.g. private).

A company in an exchange relationship:

  • will be visible on the list,
  • in the Status column there will be a Add to contractors or Send invitation button

Contractor relationship is an explicit, bilateral cooperation between your company and another company, added:

  • manually,
  • by sending an invitation,
  • or by accepting the other party's invitation.
The status of cooperation (Contractor, Cooperation Suspended) applies to the relationship and not to the visibility of the company on the list. Suspending or terminating cooperation does not remove the company from the list, but only changes its status.

The default view in the Contractors module is the Companies tab.

  1. Tabs
  • Companies - the main list of companies in all relationships. This is the default view.
  • Sent invitations - a list of companies to which invitations have been sent, along with their statuses,
  • Groups - a list of groups to which cooperating companies have been assigned,
  • Private exchange - a list of companies added to a private exchange,
  1. Global Trans.eu directory search engine - searches the entire directory of companies, also outside your relationships.
  2. View selection - you can change the context of the role and view the list from the perspective of the Principal or Contractor.
  3. Action buttons Accept invitation/Send invitation.
  4. Reset filters.
  5. Companies table - allows you to manage cooperation with companies.

Sent invitations tab

In this tab you will find a list of invitations to contractors sent by your company. The tab view consists of the following elements:

  1. Search engine - allows you to find companies to which an invitation has been sent.
  2. Filters - allow you to narrow down search results by:
  • Invitation status (e.g. in preparation, sent, expired).
  • Area of cooperation (e.g. Private exchange, Trans.eu Messenger).
  • Contractor (applies to companies that accepted the invitation).
  • Contact person from your company (the person who sent the invitation).

  2. Invitations table

List of invitations presented in a table with the following columns:

  • Status of the invitation (e.g. accepted, delivered). Possible sorting in the column
  • Company name.
  • First and last name of the contact person.
  • Email of the contact person.
  • Phone of the contact person.
  • Area of cooperation (e.g. Private exchange, Platform).
  • Added by (first and last name of the person who sent the invitation, along with the date of sending).

Groups tab

In this tab you will find a list of created groups. The tab view consists of the following elements:

  1. Search engine - allows you to find a group
  2. Action button Add group
  3. Groups table

List of groups presented in a table with the following columns:

  • Group name - possible sorting in the column.
  • Number of companies belonging to the group
  • Group description
  • Added by (first and last name of the person who created the group, along with the date).

Private exchange tab

In this tab you will find a table with a list of companies added to the Private exchange. The tab view consists of the following elements:

  1. Global Trans.eu directory search engine - searches the entire directory of companies, also outside your relationships.
  2. View selection - you can change the context of the role and view the list from the perspective of the Principal or Contractor.
  3. Action buttons Accept invitation/Send invitation.
  4. Reset filters.
  5. Companies table, which are on the Private exchange.
