Feature available to selected users of the carrier product line (TFC).

In this article, you'll learn how to:

  • add a vehicle to your fleet,
  • pair vehicles together,
  • add a free slot,
  • manage slots,
  • notify partners about a free slot.

Fleet Calendar shows all your vehicles in one place. You mark which ones are free and which are booked, and search for matching loads for them.

Adding a vehicle to your fleet

  1. In the Fleet calendar module, select Add vehicle to your fleet.
  2. Choose the vehicle type. You can choose from: lorry, tractor, van, semi-trailer, or trailer.
  3. Add the vehicle's registration number.
  4. Optional: enter the vehicle name and the people responsible for the vehicle.
  5. From the drop-down list, select the body type and body subtype and add the vehicle's load capacity.
  6. Optionally add extra details, such as dimensions or fuel type.
  7. Click Add vehicle.

Editing a vehicle

  1. In the menu on the left, select the vehicle of which details you want to change.
  2. From the drop-down menu, select Edit this vehicle's details.
If the vehicle has active free slots, you must delete them first before you can edit its key parameters.

Pairing vehicles (applies to certain types)

You can pair vehicles together. Pairing is temporary – it applies to a specific slot, not a permanent assignment between vehicles:

  • Tractor – requires adding a semi-trailer
  • Lorry – can have a trailer added
  1. Open the vehicle availability form.
  2. Go to the Select trailer field.
  3. Choose the vehicle you want to add from the list.

Adding a slot

  1. Select a vehicle and click Add an offer for this vehicle.
  2. Fill in the Vehicle availability details:
  • starting location – where the vehicle currently is
  • destination location – where you want to go (you can indicate several locations)
  • the dates and times when the vehicle is available
  • publication mode – choose from:
    • creating a bookmark for the selected vehicle on the freight exchange
    • publishing your offer on the vehicle marketplace
  • the contact person responsible for the slot
  1. Click Add to Calendar to save the slot.
You can save a slot without publishing it on the marketplace – for internal use.

Managing a slot

  1. To change the slot's hours or dates, drag or resize its field in Fleet Calendar.
  2. To delete a slot, click the ⋮ icon next to the slot and select Delete selected slot.
If the slot was published on the exchange and you change its time range, the previous offer is closed and a new one is automatically created in its place.

Marking a slot as used

  1. Click the ⋮ icon next to the slot.
  2. From the drop-down list, select Mark slot as booked.
  3. Enter the dates when the slot is booked. The slot will turn red.

Sending notifications to selected contacts

You can notify selected people about your vehicle's availability. They'll receive the slot's date, location, vehicle type, and available loading space via our Messenger.

  1. Click the ⋮ icon next to the slot.
  2. From the drop-down list, select Notify contacts.
  3. Fill in the Contact notification form:
  • select one or more people from your list of Trans.eu Messenger contacts
  • use the default message or edit it
  1. Click Send.
You can only send a notification to people who are already your Messenger contacts. You can send a maximum of 7 notifications per vehicle within 24 hours.

FAQ – Fleet calendar

Can I add two vehicles with the same registration number to my fleet?

You can't add two vehicles with the same registration number and country of registration, but the same number can exist for different countries.

What's the difference between the person responsible for a vehicle and the person responsible for a slot?

The person responsible for a vehicle and the person responsible for a slot can be different – for example, one person may manage a vehicle at the fleet level, while another is assigned as the contact person for a specific, one-off slot.
