This article will show you:
- how to appoint contact persons for negotiations
- how to monitor and conduct negotiations
- how to take over negotiations
- how to use the negotiation history
Appointing Contact Persons for Negotiations
One of the key elements of effective negotiation management is the appropriate appointment of people responsible for contact with carriers:
- Selecting contact persons during freight publication: When you publish a new freight offer, you can appoint specific contact persons from your company. Only these designated people will be able to negotiate the price and conditions with the carrier.

- Option to exclude your own name: As the person publishing the freight, you can uncheck your name from the list of contact persons. This way, carriers will not contact you directly about this offer, and the negotiations will be conducted by other people from the company you indicate. If you uncheck yourself and designate others, the name of the person marked as the first will be visible in the list of offers.
- Multiple negotiators for one offer: You can designate several contact persons for one freight offer. In this case, the carrier will be able to choose with whom they want to negotiate.

- Editing contact persons after publication: Changing contact persons is possible in the Freights module, in the Added tab. You can do this in two places:
-On the list of offers, in the Employee column;
-After clicking on the selected offer and expanding the additional information view, in the Details tab, in the Contact persons section.


Monitoring and Conducting Negotiations
The Trans.eu Platform enables effective monitoring and conducting of negotiations:
Parallel negotiations: You can conduct parallel negotiations of the same offer with more than one carrier. Each of the designated contact persons can independently negotiate with carriers.
Visibility of negotiations in the company:
- In the Freights module, in the Added tab, you will find your published offers.
- After clicking on the selected offer, in the Negotiations tab, you will see two sections:
-My negotiations: here you will find the price offers you received from carriers. From this level, you can negotiate with all interested carriers.
-Other negotiations: here you will see the offers received by someone else from your company. You can click on this section to see who else from your company is negotiating the freight and which carriers have submitted offers. It is important that other negotiators see who is negotiating and at what rate, but they do not see the conversations or the terms of the negotiations conducted by others.

Privacy of negotiations: People from your company who are not designated as contact persons do not see who is negotiating with whom during the negotiations.
Taking over negotiations by another company employee
The negotiation management mechanism is designed to allow flexible response to different situations.
Taking over negotiations by another person from the company: The negotiation takeover mechanism allows people designated to conduct negotiations, with appropriate permissions (from TFF and CargoON companies), to take over ongoing negotiations conducted by other users.
Permissions can be changed by going to the My Company module > Manage Employee > Account Settings and checking the option: Taking over negotiations of co-workers.

Takeover variants:
- The takeover can occur with the exclusion of the previous negotiator (e.g., when an inexperienced employee was negotiating unfavorably for the company, and a more experienced person takes over, excluding the first employee from the further process).
- The second variant is a takeover without exclusion (e.g., when the negotiator finished the workday or cannot continue due to random reasons, and if the person taking over does not finish the conversations, the original negotiator can continue them).
Taking over negotiations
- In the Freights module, in the Added tab, find the published offer whose negotiations you want to take over.
- After clicking on the selected offer, in the Negotiations tab, go to the Other negotiations section. Here you will see who else from your company is negotiating the freight and which carriers have submitted offers.
- click the Take over negotiations button.

- decide whether you want to exclude a user from your company from further negotiations or just temporarily replace them.

Notification of takeover: If the negotiations you were conducting are taken over by another person, you will receive a notification about it.

Taking over your own negotiations: If you want to resign from conducting negotiations, you cannot indicate the person who will take them over from you. You can only unsubscribe from the list of contact persons, interrupting the negotiations already in progress.
Negotiation History
After the negotiations are completed, the Trans.eu Platform provides access to their history:
- Availability of conditions after acceptance: After accepting the offer, the agreed conditions are publicly available to all employees of your company.
- Privacy of unaccepted offers: All other offers submitted by other contact persons that did not win remain private.
Offers that found a carrier can be found in the Accepted tab in the Freights module.
Offers whose publication was not successful go to the Archive tab in the module
Details of the history:
- In the Negotiations tab of the accepted offer, you will see information about who won the offer along with the rate - this information is available to all employees of your company.

- In the My negotiations section, you will find all your negotiations. Click on the clock icon to see the detailed course of your negotiations.

- In the Other negotiations section, you will see negotiations conducted by other contact persons from your company, but their details remain private.

You can also see the detailed course of your negotiations with carriers from the messenger level by opening the conversation and clicking on the clock icon.
