FAQ - Visibility Monitoring
Product
- What options do carriers without GPS integration with P44 have in order to share location signals?
If the Carrier does not have an account in Project44, they do not have the technical capability to share the signal on the Platform. It is worth pointing out that the Project44 account for carriers is free.
In the future, we plan to integrate with a new mobile application for drivers, which is currently in the conceptual stage. We are also looking for other technology partners among major GPS integrators.
- What are the differences in monitoring when GPS provider shares the location once every 30 minutes vs. once every 5 minutes?
The more frequent the GPS updates, the more accurate data our product can provide to the user, e.g. the loading time may be longer with infrequent updates, as the system will only register departure from the operation zone after a longer period of time.
However, users have the option of manually adjusting operation times.
Trans.eu, and even Project44, has no impact on the frequency of GPS updates. It depends on many factors, such as the number of intermediaries in the signal transmission or the size of the GPS data package purchased by the Carrier. - Can the system (Visibility Monitoring) prevent load theft?
Visibility Monitoring can minimize the risk of load theft. The system can inform users immediately about moving away from the operation site with an alert. However, Trans.eu is not responsible if such theft ultimately occurs. - Is there any marker to notify the forwarder that a particular carrier can be monitored?
After the first successful monitoring of a given Carrier, the System will reward them with the badge "Provides GPS", and if, they maintain a high punctuality rate, they will be additionally awarded with the badge "99% deliveries on time" (or 97% or 95% - depending on their current punctuality rate).
These badges will be visible in the messenger window during conversations, in the freight section during negotiations, on the company's profile and in the Contractors module. - Is the product available in all EU countries, and, for example, in the UK or Turkey? Are there any regional restrictions?
There are no regional restrictions.
Algorithms and ETA
- Will the ETA be displayed for all loads on the new "Transports in realization" page?
The ETA will be displayed for all transports with purchased monitoring, which have already received the first location, until the confirmation of arrival to the last unloading location.
Order and Visibility Monitoring
- What channels can be used to order GPS monitoring?
GPS monitoring available within Visibility Monitoring, can be integrated on the basis of: an accepted freight offer with a monitoring requirement, or an order after accepting its terms with a monitoring requirement (if that order was not previously created from an accepted freight).
Work, involving monitoring, will take place in the new Transports in realization module. With the appropriate settings, it will be possible to skip the process of handling Orders. At the same time, some actions, such as clarifying the address of the operation or changing the locations are possible from the Orders module, which may affect the Transports in realization.
- Does the shipper need to re-confirm the dates and times of pickup and delivery? This information is already in the transport order.
Neither the Contractor nor the Carrier needs to perform the same action twice.
However, sometimes it may be advisable for them - often the freight offer does not contain the exact details of the place of operations, including their planned times. Accurate address data will make it clear to which location the system should track a vehicle.
The operation data can be specified in the Transports in realization module (step "Fill in the operation data"), Orders (step "Send the Order terms" or also "Fill in the operation data"). If the above data is not specified, monitoring will start, but the accuracy of monitoring and the effectiveness of the functionality may be limited. The system is not responsible for the quality of the data entered.
- What does the fast track for connecting monitoring to freight look like?
1. The Contractor publishes an offer with the monitoring requirement;
2. The Carrier accepts the offer with the monitoring requirement;
3. The Carrier provides the vehicle registration numbers via messenger (in the case of acceptance via messenger) or in the Transports in realization module;
4. The system checks whether monitoring is possible by asking P44;
5. The Contractor accepts monitoring costs (this step with appropriate settings can be skipped).
The exact path of settings and user actions is described in a dedicated Help article. - Can the forwarder decide to monitor the transport once it has begun?
The Forwarder can agree to monitoring before, during and even after loading. However, if monitoring is to begin after a significant distance from the loading place then, depending on the supplier, this may not be possible. It depends on the GPS signal provider and is beyond our control. If such a situation occurs and the monitoring is not effectively set up or a sufficient number of locations are not received, the Contractor will not be charged for its costs. - What data should the carrier enter on the platform to share the signal? (Should they enter their fleet data?)
No, the only thing they need to do is accept the freight offer with a monitoring requirement (or the order terms if they have not accepted freight before) and provide the registration numbers for that transport.
Of course, entering vehicle data in the fleet can speed up the process for carriers in the future, because there will be no need to enter the registration numbers manually, but selecting them from the list. - Are the vehicle registration numbers provided only via messenger and in the order? Or also in the freight?
Currently, registration numbers can be provided: 1) in the Transports in realization module, 2) in Orders, 3) immediately after accepting freight in the messenger (with appropriate settings).
Obviously, it is enough to provide this data in only one of these places. - What happens if the carrier enters the wrong number when filling in the vehicle number?
The system will send a request to the partner system to check the possibility of monitoring and will most likely get a negative response. The user has the option to correct the entered numbers - then the System will check the possibility of monitoring again. - How far in advance is monitoring activated/visible to the shipper?
The system applies monitoring in the partner system no earlier than one hour before the scheduled loading time. The exact time of receiving the first location depends on the particular GPS provider and the package the Carrier is using. Trans.eu and Project44 have no influence on this.
- What happens if a truck breaks down on the route and the load is transferred to another truck?
The user has the ability to change the registration numbers in the Transports in realization module; if the new vehicle is also in the Carrier's resources, the monitoring will be attached without additional costs to the Contractor.
Now it is possible to confirm arrival at loading; ultimately, the vehicle will be able to be changed before unloading.
If the new vehicle does not have integrated telematics in P44 or belongs to another carrier, the monitoring will break down. Depending on the number of previously received locations, the Contractor will or will not be charged for it.
- Until what point is signal tracking available? (Does it turn off automatically after unloading? Is it possible to manually end this action)?
GPS monitoring will end when the last unloading is confirmed to have been completed. This may happen when any of the following events occur:
1. Confirmation of departure from the warehouse from Dock Scheduler
2. Manual confirmation of the unloading completion by the Contractor in the Orders or Transports in realization module
3. Last departure from the small unloading zone based on GPS
4. Manual confirmation of the unloading completion by the Carrier in the Orders or Transports in realization module.
The above order of events is significant. The data about the start and end of the operation is collected from all sources and can be checked in the History tab. However, for settlement purposes, data from a higher hierarchical source is used.
- What can be changed in the Operations tab?
The Contractor can change the times for arrival at the operation and operation completion, as well as weights, up until the confirmation of the order in the Orders module or until the transport is archived, which happens automatically after 200 days from the unloading date.
Statuses
- Will it be possible to filter by new status types? (e.g. delayed, on time, etc.)
Yes, this new type of status is called Prediction and it will be possible to filter by this value.
Alerts
- What are events "requiring attention"?
The system automatically recognizes events requiring attention based on events captured from the route - it alerts, for example, when a vehicle starts to move away from a location, loading a destination for too long etc. The number of captured events will increase as the product develops. - Who receives "requiring attention" alerts? Is it the forwarder assigned to the freight? Can anyone else see this?
The notification about the event is sent to the person assigned to the freight or order. The list of transports is shared, and an icon indicating the event requiring attention is visible to all users from that company.
Legal
- What does "Required if technically possible" mean? What if it is not technically possible?
Such a requirement means that the Carrier should provide monitoring if it is technically possible to do so. Based on the accepted requirement, Trans.eu processes the Carrier's data and verifies whether such a technical possibility exists through cooperation with major GPS integrators.
This also means that Trans.eu does not guarantee certainty that the Carrier, willing to provide monitoring, will respond to that offer or that it will work properly (as we do not provide our own GPS devices).
In the case of lack of GPS connection or incorrect signal Trans.eu is not liable to the Client (Contractor) for the lack of GPS availability, and will simply not charge or will automatically cancel the payment requirement from that Client. - Does the carrier have to consent to tracking their transport every time?
The carrier gives their consent by accepting freight with the monitoring requirement and providing registration numbers for orders and transports. By doing so, they consent to monitoring if it is technically possible.
The Carrier does not need to give any other consent for connecting the monitoring. This process is simple for them as well.
- Does the Contractor store monitoring data for a given route? If so, how long is this information stored? (If the time can be edited, what happens in case of disputes?)
The Contractor has access to monitoring data without time limits. Once the transport is completed and the order is confirmed, or after 200 days, it goes to the "Archived" tab where it can be found and used.
Any editing of the operation data leaves a historical record, which can be checked in the "History" tab of this transport. The Carrier also has access to it.
Trans.eu does not interfere in disputes between users. - Does the Carrier have access to the monitoring data of the transport they performed?
Yes, similarly to the Contractor, the Carrier has access to the monitoring data without time limits. Once the transport is completed and the order is confirmed, or after 200 days, it goes to the Archived tab where it can be found and used.
Payments
- Micropayments – is the manager's approval required each time for this cost? How does this process work technically?
The manager (a person designated in the system as an authorized person, administrator) can automate the decision-making process regarding payments by selecting the appropriate option in the settings of Transports in realization, in the Billing tab.
They can: 1) set the option "always agree" (fully automates the decision), 2) "always ask the employee" (with the option to disclose the service cost to them), 3) "never agree" (disables the possibility of monitoring through Trans.eu).
In addition, for options 1) and 2) it is possible to set a monthly limit for monitoring use, calculated for the entire company. - When is the monitoring payment charged?
The system reviews completed transport to ensure it meets minimum quality standards. If the quality conditions are met, the payment is added to the invoice for the relevant billing period.
