Functions and use of the Transports in realization module

Who can use this function ?

This function is available to all users of the Trans.eu Platform and CargoON.

From this article you will learn:

  • how to use the Transports in realization module
  • what the various statuses in transport tasks mean

The Transports in realization module is a place where you will find all information regarding transport tasks that have been created, handled, completed and archived.

In the menu, select the Transports in realization module. You will find the following information there: (tabs/options) and a list of transport tasks.

  1. Tabs:

1. Active tab, which contains all transport tasks that are waiting to be started or are currently in progress.

The transport task available in the Active tab contains the following data:

  • Transport task status
  • Status details - information about the route and time at a given point
  • Alerts - this column may contain information that requires attention and action, a detailed description of alerts can be found here (link to H2)
  • Route start - loading location
  • Route end - unloading location
  • ETA - calculated using an algorithm to predict the time of arrival to the final unloading location
  • Contractor - data
  • Vehicle registration number
  • Driver - data
  • Transportation task number​
  • Reference number
  • ID

  • Task statuses in the Active tab:

  • Waiting to start means that the transport is waiting for manual or automatic status using GPS. If the GPS has already been connected, the time to activate the signal has not yet passed.

  • Awaiting confirmation of arrival for loading means that the vehicle is approaching the loading location. If GPS is active, the transport details will include information on the remaining kilometers to the destination.

  • Awaiting confirmation of loading - this status will appear if we receive manual confirmation of arrival at the loading location or the vehicle enters the loading zone based on GPS data. The platform will display information on how much time the driver spent on loading location (waiting for entry - waiting in a queue, loading, waiting for documents).

  • En route means that the driver has left the loading place based on the GPS signal or after manually marking this step. If GPS is active, in the status details you can find a progress bar for the transport task (including travel time, operation time and driver’s pauses).

  • Awaiting confirmation of arrival for unloading means that the vehicle is approaching the unloading location. The system is waiting for confirmation of arrival via a manual action or the vehicle entering the unloading zone. If the GPS is active, the status details will include a progress bar for the transport task (including travel time, operation time and driver’s breaks).

  • Awaiting confirmation of unloading - this status appears if we receive manual confirmation of arrival at the unloading site or if the vehicle enters the unloading zone based on GPS data. The platform will display information on how much time the driver spent on unloading activities (waiting for entry - queue time, unloading, waiting for documents).

2. The New tab, which contains all transport tasks that require completing driver and vehicle data, exact address and dates.

  • Task statuses in the New tab:

  • Awaiting operation details -this status indicates that the time range specified in the offer or order is too broad to effectively monitor the transport. The client or contractor should specify an exact start time for the operation or a time range up to 3 hours. The effectiveness of monitoring is also influenced by providing an additional operation address.

  • Awaiting required information for transport execution means that it is necessary to complete the driver's name and surname and the vehicle registration number. Additionally, you can provide the driver's ID document details or the trailer's registration number.

3. In the Completed tab, you will find transport tasks that have been completed. The list includes the following information:

  • Completion status: provides information whether the driver arrived at the loading and unloading location on time or indicates the duration of any delays.
  • Claims: issues have been reported.
  • Automatic comments: automatically detected events that may affect transport settlement or assessment of transport quality.
  • Monitoring sources: details the methods and tools used to monitor the transport.
  • Additionally all data: start and end of the route, contractor data, reference number, driver data, transport task number, reference number, identifier

4. In the Archive tab, you will find all orders completed and confirmed by the shipper as well as a summary of each transport.

  1. For detailed information, click on the selected transport task.

At the top, you will find the following information:

  • Transport identification numbers, related contexts and documents.
  • Details of the contractor handling a given transport, driver and vehicle details.
  • Data containing information about the beginning and end of a route.
  • A button with the default action to manually change the transport status.
  • More button, which provides a list of additional actions that may result in a change in the transport status.

Tabs:

  • Information includes:

- details of the vehicle position along with an option to copy data to the clipboard.

- the Requires attention section, with a list of events that may require your action.

- driver's working time chart - indicates driver’s work time based on the changing position of the vehicle.

  • A map: presents the current position of the vehicle along with the most important events on the route.
  • Operations: contains information about operations planned and performed as part of the selected transport task.
  • History: contains detailed information about all events related to the selected transport task.

  1. Search field: enter data to use this option.

  1. Filtering option: allows you to search for specific tasks. Additionally, in the window, you can filter the list by selecting the appropriate tab.

 

Alerts

In the list of transport tasks, in the Alerts column, icons related to GPS system and events that can require your attention and action may appear.

GPS monitoring is possible and awaits for the client to purchase it.
