Settlement of the rate per kilometer – Contractor

Who can use this feature?

This feature is available to users of the TFF - Trans for Forwarders and TFC - Trans for Carriers product lines acting in the role of Contractor.

In this article, you will learn how to:

  • handle orders settled based on distance traveled.

How to process an order with per-kilometer settlement

In the Orders module, select the Received tab.

  1. Click on the received order.
  2. Click View terms to check the details and requirements of this order.

Verify the terms in the received order:

  • Check the rate and the settlement unit. Instead of a fixed amount per route, you will see a rate per 1 km and the estimated number of kilometers.
  • Also check what is the basis for settlement (GPS monitoring, the client’s calculation, or your declaration).
  1. Click Confirm terms.
  2. After accepting the order, click Complete transport details.
  3. Enter the license plate numbers of the vehicle that will carry out the route.
Immediately after entering the vehicle numbers, you will gain access to the full view of the planned route. You can analyze it even before arriving at the first loading point – you no longer have to wait for the operation to begin to see route details.
  1. Once the vehicle leaves the loading zone, the system activates the GPS signal. During the journey, you have access to a view that continuously shows route progress and compares your planned kilometers with the actual GPS readings.
  2. After completing the transport, go to the Completed tab.
  3. Provide the contractor’s declaration.
    You can enter the actual distance traveled here.

You can always provide your own declaration, even if the client has specified that the settlement basis is GPS or their own calculation.

For orders covering multiple trips (multi-freight), you submit the kilometer declaration separately for each completed trip.

The value you enter will automatically update the summary on the client’s side and will appear on the map as an additional chart.
