Managing private exchanges

Who can use this feature?

The feature is available to users of the Trans for Forwarders (TFF) and CargoON product lines who have access to the Contractors module.

This article will show you how to streamline your work with contractors by effectively using private exchanges - including how to:

  • add a company to a private exchange,
  • remove a company from an exchange (also from several exchanges at once),
  • use the exchange edit mode.

Types of exchanges in the Contractors module

In the Contractors module you will find two types of exchanges:

  • private exchange
  • corporate exchanges (with a custom name)

Both types help to share offers with selected companies, but they work differently.

Private exchange (1) allows you to publish freight offers to a closed list of selected carriers.

Important:

  • before you add a company to a private exchange, first add it as a contractor,
  • there is one private exchange,
  • it includes a list of contractors you add to the private exchange.

Corporate exchanges (2) can have custom names and support working with different types of contractors.

What you should know:

  • you can have multiple corporate exchanges,
  • they are created and managed by your guardian,
  • the guardian can also rename the exchange,
  • corporate exchanges work like subgroups of contractors (e.g. by type of cooperation or destination).

Private exchanges - list view

Companies tab

Companies that belong to private exchanges can be easily filtered in the Companies tab in two ways:

  • Use the filtering option in the Groups column - select the exchanges you want to display
  • Click on the label in the Groups column

Click on the Private exchange label (blue) to display companies assigned to the private exchange. Corporate exchanges are marked in brown

In the Private exchanges list view you will see columns known from the contractors list (Companies tab). You can filter data and sort columns in the same way.

Filtering in the Groups column on the private and corporate exchanges list is not active.

In both views you will find an additional column: Role, which shows the status of the company in a given exchange. It informs what function the company performs :

  • contractor,
  • orderer,
  • administrator.
The Role column shows the status of the company in the exchange you are currently viewing. The same company may have a different role in another exchange.

Adding and removing companies from a private exchange

You can add a company to a private exchange only if you have previously added it to contractors.

A user with administrator privileges for a given exchange will see additional actions in the menu, depending on the type of exchange:

  • in a private exchange: Remove.
  • in a corporate exchange: (Remove, Change role).

You can add a company to a private (and corporate) exchange in 3 ways:

1. Companies tab

  1. Go to the Contractors module, Companies tab.
  2. Find the company you want to add.
  3. Click the ⋯ (three dots) menu next to the company.
  4. Hover over My exchanges, then Private exchange/Corporate exchange
  5. Select: Add to exchange or Remove from exchange

2. Company details

  1. Go to the Contractors module, Companies tab.
  2. Find the company on the list and click on its row to open the details.
  3. In the details window, click the ⋯ (three dots) menu next to the company.
  4. Hover over My exchanges, then Private exchange/Corporate exchange
  5. Select Add to exchange or Remove from exchange.

3. Private/Corporate exchanges tabadding companies:

  1. Go to the Contractors module, Private exchanges or Corporate exchanges (with a custom name) tab
  2. Click the Add carriers button
  3. In the window with the list of carriers click Add to exchange next to selected companies.
    If the company is not added to contractors, the Add to exchange button will be inactive.
    You will also see a relevant note next to companies added to private exchanges.

Removing companies:

  1. Go to the Contractors module, Private exchanges or Corporate exchanges (with a custom name) tab.
  2. Find the company you want to remove.
  3. Click the ⋯ (three dots) menu next to the company.
  4. Select Remove from Private exchange/Corporate exchange

If the company belongs to several private exchanges, the system will display a window with a list of exchanges.

You can then:

  • select the exchanges from which you want to remove the company,
  • use the Select all or Deselect all option,
  • confirm the operation with one click.

Exchange edit mode

The edit mode makes it easy to manage a single, specific exchange.

In this mode:

  • you only see companies assigned to that exchange,
  • you perform the most important actions without changing the context,

How to perform an action?

  1. Click the ⋯ menu next to the selected company.
  2. On the list you will see:
  • actions related to a specific exchange (at the top) - Add to exchange, Remove from exchange
  • general actions related to the contractor (below) - Send freight, Add to groups/exchanges, Suspend cooperation, Remove from contractors.
