Who can use this feature?

The module is available to all users of the CargoON product line and to users of the TFF (Trans for Forwarders) product line who have the ARS add-on enabled – solutions that automate the publication of freight offers (routes and automatic rules).

In this article you will learn:

  • how to add a route offer with a pallet exchange surcharge,
  • how to add a freight offer to a route with a pallet exchange surcharge.

Surcharges allow you to manage prices flexibly while the terms of cooperation are in force. This lets you better adjust the price of the service to the actual conditions under which the order is carried out. You can respond on an ongoing basis, e.g. to changes in fuel prices, take additional loading points into account, and maintain the stability of long-term cooperation.

To use surcharges, first configure them in templates. You can learn how to do this in the article Surcharge templates.

Route proposal with a pallet exchange surcharge

For the pallet exchange surcharge to be applied, it must be attached to the route's terms of cooperation.

  1. Go to the Routes with carriers module and click the Add route button.
  2. Fill in the route form. Then click the Continue and add carriers button.
  3. Fill in the form for adding a carrier. In the Price section, select Pallet price list.
  4. Click Add another surcharge.
  5. At this step, while setting the route terms, you can add a surcharge using a previously prepared template. If you don't have a template ready, you can add a surcharge by filling in the form.
  6. Click Add surcharge.
  7. The surcharge has been added to the form. Click Send to carriers.
  8. The route offer is awaiting acceptance by the carrier. In the route details, in the Price column of the carrier list, you will see the surcharge icon.
  9. Once the route is accepted, the status In negotiation will change to Enabled.

Adding a freight offer with publication to a route

You can add freight:

  • by creating a new freight offer (the Add freight button) and selecting the route publication mode,
  • by opening the details of the selected route and publishing a freight offer to it (by clicking the load icon).

  1. Fill in the form; mandatory fields are marked with an asterisk. The route will be suggested automatically.

To check at what prices and to which recipients the offer will be sent, click Show active companies. There you will see prices including surcharges (if the specified conditions are met) and details of the surcharge components.
  1. Click the Publish freight button.
    You will find the freight offer in the Freights module, in the Added tab.
  2. Once the carrier accepts the offer, its details will show the final rate including the surcharge:

Changing the surcharge value after creating an order

If you change the surcharge value or unit in the associated template after creating a transport order, the system will automatically update the order price, provided that the order: - comes from a contract associated with the edited surcharge template, - applies to dates covered by the new surcharge schedule entry, - has not yet been completed. Remember that the order value changes, not the freight offer.
  1. To change the surcharge value, click on the avatar, go to Settings > Routes and select the surcharge you want to edit.TipYou will learn how to edit the surcharge template in the Surcharge Templates article.
  2. After updating the surcharge, a yellow surcharge marker indicating the change will appear in the order list.

  1. Clicking on the surcharge icon will show the new rate.

Route proposal with a surcharge from the carrier's perspective

If the orderer includes a surcharge in the route conditions, the appropriate label will appear in the route list in the price column. Clicking on the label will show additional information related to the surcharge type and conditions.

  • Click on the selected route to see its details. The fixed route window also contains surcharge labels.
  • Accept the route.

By accepting the route conditions with a surcharge, you agree to the possibility of updating surcharge rates during its duration without the need for re-accepting the cooperation terms.

Freight offers with a surcharge from the carrier's perspective.

The shipper sent you a freight offer with publication to a route

  1. Go to the Search Loads module. You will find the offer in the For me tab.

You will see the offer not only in this tab but also in any exchange tab.
  1. Click on its details, then select See surcharges

  1. In the tooltip, you will find detailed information about the surcharge.

Now you can accept or reject the offer.

If, after your acceptance of the freight, the shipper changes the surcharge value, the order will be marked with a yellow surcharge icon in the list. This indicates that the price has been updated with the surcharge applicable at the time of the planned execution. Note! The change applies to the order value, not the freight offer.
