Who can use this function?

The module is available to all users of the CargoON line and to users of the TFF (Trans for Forwarders) product line who have the ARS add-on (Solutions automating the publication of freight offers) enabled (routes and automated rules).

From the article you will learn:

  • how to add a route offer with a surcharge for pallet exchange,
  • how to add a freight offer to a route with a surcharge for pallet exchange.

Surcharges allow flexible price management during the terms of cooperation. This way, you can better adjust the service price to the actual conditions of order execution. You can react on an ongoing basis, e.g., to fuel price changes, include additional loading points, and maintain the stability of long-term cooperation. To use surcharges, first configure them in templates - you will learn how to do this in the Surcharge Templates article.

Route proposal with a surcharge for pallet exchange

For the pallet exchange surcharge to start applying, it must be linked to the route cooperation terms.

  1. Go to the Routes with Carriers module and click the Add Route button.

  1. Fill in the route form. Then click the Add conditions with the carrier button.

  1. In this step, while setting the route conditions, you can add a surcharge using a pre-prepared template. If you don't have a ready template, you can add a surcharge by filling out the form.

  1. The surcharge template for pallet exchange has been added correctly. Click the Send to carrier button.

  1. The route offer is now in the Negotiated tab and is waiting for acceptance by the carrier. In the Current price column, you will see the surcharge icon.

  1. The carrier accepted the route offer with a surcharge for pallet exchange.

Adding a freight offer with publication to a route

  1. Click the Add freight button
  2. Fill in the form, mandatory fields are marked with an asterisk.
  3. In the Freight publication mode section, select routes and choose a route from the list.

To check the prices and recipients to whom the offer will be sent, click Show active companies. There you will see prices including surcharges (if certain conditions are met) and details about the surcharge components.
  1. Click the Publish freight button.

You will find the freight offer in the Freights module in the Added tab.

  1. After the offer is accepted by the carrier, you will find information about the final rate with the surcharge included in its details:

Changing the surcharge value after creating an order

If you change the surcharge value or unit in the associated template after creating a transport order, the system will automatically update the order price, provided that the order: - comes from a contract associated with the edited surcharge template, - applies to dates covered by the new surcharge schedule entry, - has not yet been completed. Remember that the order value changes, not the freight offer.
  1. To change the surcharge value, click on the avatar, go to Settings > Routes and select the surcharge you want to edit.TipYou will learn how to edit the surcharge template in the Surcharge Templates article.
  2. After updating the surcharge, a yellow surcharge marker indicating the change will appear in the order list.

  1. Clicking on the surcharge icon will show the new rate.

  1. In the order details, in the Change history tab, you will find information about the automatic price update.

Route proposal with a surcharge from the carrier's perspective

If the orderer includes a surcharge in the route conditions, the appropriate label will appear in the route list in the price column. Clicking on the label will show additional information related to the surcharge type and conditions.

  • Click on the selected route to see its details. The fixed route window also contains surcharge labels.
  • Accept the route.

By accepting the route conditions with a surcharge, you agree to the possibility of updating surcharge rates during its duration without the need for re-accepting the cooperation terms.

Freight offers with a surcharge from the carrier's perspective.

The shipper sent you a freight offer with publication to a route

  1. Go to the Search Loads module. You will find the offer in the For me tab.

You will see the offer not only in this tab but also in any exchange tab.
  1. Click on its details, then select See surcharges

  1. In the tooltip, you will find detailed information about the surcharge.

Now you can accept or reject the offer.

If, after your acceptance of the freight, the shipper changes the surcharge value, the order will be marked with a yellow surcharge icon in the list. This indicates that the price has been updated with the surcharge applicable at the time of the planned execution. Note! The change applies to the order value, not the freight offer.

In the order details, in the Change history tab, you will find information about the automatic price update.
