Handling the freight with monitoring as a client

Who can use this function?

This function is available to users of the CargoON product line and freight forwarding (TFF - Trans for Forwarders).

From this article you will learn:

  • how to add a freight offer with a monitoring requirement
  • how to handle a transport task

Visibility Monitoring is a product that enables real-time transport tracking. It allows for monitoring the location of vehicles and the status of transport using GPS systems.
With up-to-date information, you gain safety and control, allowing you to respond quickly to unforeseen events on the road if necessary.

The entire process of handling Monitoring begins when a freight offer is created.

Adding a freight offer with a monitoring requirement

  1. On the Platform, select the Create freight option.
  2. Complete the freight form. Mandatory fields are marked with an asterisk.

  • Expand the following option: Show other requirements.
  • In the Vehicle details section, check the GPS monitoring option to enable it. Then select the following option: Required if technically possible (move the slider to the green field).

  1. After filling out the form, Publish freight.
Selecting the monitoring option in the offer means that the client requires monitoring. If it is technically possible for the carrier to share the GPS signal, monitoring will be automatically connected.

Consent to monitoring appears at the time of accepting the freight offer or accepting the terms of the order.

  1. The added offer will be visible on the Platform. In the vehicle information column the monitoring requirement will be visible.
  • Additionally, in the window with the offer details, in the Vehicle requirements section, the following information will be visible: Vehicle monitoring (GPS) - required if technically possible.

  1. You can track the status of your offer in the Freights module, in the Added tab.
  2. The Choose carrier status means that you have received a response to your offer, which you can accept, reject or end negotiations.

  • Once the offer is accepted, the freight will go to the Accepted tab.

Initial information on the messenger

  1. After accepting the freight with the monitoring requirement, in the conversation window on the messenger, the Carrier receives a request to provide the vehicle registration numbers.
To skip the order handling process, it is necessary to select the appropriate settings as described in the article - Automation of the request for entry execution data before sending order terms.
Based on the completed vehicle data, we will verify in partner systems whether GPS monitoring is technically possible.

  1. After verification, a window may appear with information about the possibility of monitoring the transport. Click Consent to GPS.
  2. The data provided by the carrier will be saved in the messenger window and in the order.

Transport task handling on the client's side

  1. In the Transports in realization module, select the New tab. Here, you may see tasks that require some data to be completed (if not previously provided).
  2. Select a task from the list. Click to specify information (this will appear when the time set in the offer is too long, over 3 hours).
You can complete the data yourself, or your contractor can do it.

Providing the date and time is recommended so that the system can calculate the estimated arrival time, i.e. an indicator determining whether the transport will arrive at the place of operation on time.

  • In the window, specify the date and time of loading and unloading, then save the changes.

  1. The task will be moved to the Active tab, where information about the current status of the task will be continuously updated until the transport is completed. 
  2. The task status will change to Waiting to start, meaning that the time to activate signal sharing has not yet passed.

  1. The task status will change to Awaiting confirmation of arrival for loading for a specified time before loading.
  • Click on the selected transport on the list to see detailed information.
  • During the transport, messages and information will appear in the various tabs: Information, Map, Operations, History.

  1. Another task status - Awaiting confirmation of loading will appear if based on GPS data or manual confirmation we determine that the vehicle will enter the loading zone.
  • The Platform will display information on how much time the driver spent at the loading site (waiting to enter - waiting in line, loading, waiting for documents).

  1. The next task status - En route will appear if the vehicle leaves the loading location based on the GPS signal or based on manual confirmation in the order. 
  • The Platform will display information about the vehicle's current location and the route the driver has already completed.

  1. During the transport, an Alert may appear on the task list informing about an event requiring attention.
  • In the task details window, go to the Requires attention section to check what happened.
  • Additionally, a notification (bell icon) may appear on the Platform informing about the event.
  • After reading and verifying a message, you can Archive it so that it does not appear on the main page, by clicking the X symbol.

  1. The status Awaiting confirmation of arrival for unloading may also appear, if the vehicle is close to the unloading location (there is no possibility of manual confirmation).

  1. Another task status - Awaiting confirmation of unloading - will appear if, based on GPS data on manual confirmation in the order, the vehicle enters the unloading zone.
  • The Platform will inform how much time the driver spent at the unloading site (waiting for departure - waiting in line, unloading, waiting for documents).

  1. The Completed tab displays all completed transport tasks, and additionally the list includes information such as:
  • Completion status: shows whether the driver arrived at the operation site on time or  informs about delays.
  • Claims: show whether any claims were submitted to the task.
  • Automatic comments: these present information summarizing events that the system recognized during the transport.
  • Monitoring sources: information about the sources used for monitoring the transport
  1. In the task details window, you can check the entire history of events that took place during the transport, along with details.

  1. In the Archived tab, you will see all completed transports from orders confirmed by the shipper.
