Who can use this function?

The function is available to CargoON and Trans for Forwarders users who have purchased the Business Intelligence Reports complementary product.

The reports are visible to selected users specified by the company requesting access.

The Orders list report contains detailed information about orders, including their division into those created from freights and those entered manually. Additionally, the report illustrates the life cycle of orders from the moment they are created.

Thanks to the data from the Orders list report:

  • you gain a full picture of all orders created - you monitor how they were created and their status,
  • you can see which of your employees creates the most and which the least orders,
  • you can see which of your carriers and employees update the status of orders (e.g. unloading confirmation) on the Platform
  • you can see which carriers complete the most of your orders.

To open the report, select the Orders list tab in the BI Reports module.

The report consists of 4 main sections:

  1. KPI - key performance indicators:
  • number of published freights,
  • number of accepted freights,
  • number of orders,
  • number of orders created from freights,
  • number of orders created manually,
  • number of orders in progress,
  • number of confirmed orders,
  • number of canceled orders.

  1. Total chart - shows the total number of orders. You can filter data by two parameters: employee or carrier.
  2. Summary table - a list of all freights from which the orders were created, along with information about the next stages of the order handling process.
  3. Details table - part of the report connected with the Summary table. Additional information about the order is displayed here.

Setting the scope of analyzed data

  1. Click the filter symbol in the right column to open the report filter settings.

In the filter settings you can:

  • Specify the time range for which the data will be presented (Order created date) - you can choose from years, quarters, months, weeks, days, and even hours.

  • Select an employee (Company employee) - you can display data for selected employees or all employees of your company.
  • Select a company of the carrier (Company carrier) - you can display data for selected carriers or all carriers that have handled your orders.

You can filter the data by:

  • Order number.
  • Freight number.
  • Order status - all, canceled, completed or in progress.
  • Order creation method - all, orders created from freights, orders created manually.

Additionally, you can use the slider to specify the time range for the last action taken.

For the purpose of this article, we present data from the last 3 months (July 1 - September 30, 2024) for all employees, carriers and for each order status, created both manually and from freights. The date range for the last action is August 1, 2023 - August 13, 2024.

KPI

In the upper part of the report, we present the sum of key metrics relating to the entire company. The values ​​refer to orders and freights published on the Trans.eu Platform for the time specified in the filter settings.

  1. Number of published freights - sum of published freight offers.
  2. Number of accepted freights - sum of freights accepted by carriers.
  3. Number of orders - sum of created orders.
  4. Number of orders created from freight - sum of orders created from freight.
  5. Number of manual created orders - sum of orders created manually.
  6. Number of orders in progress - sum of currently handled orders.
  7. Number of confirmed orders - sum of accepted orders.
  8. Number of canceled orders - sum of canceled orders.

Each KPI is presented in the form of a number and/or percentage. 

Additionally, next to each KPI there is a chart presenting changes in value over time, with the possibility of viewing detailed data (month and value) by hovering the mouse cursor.

Total chart

The chart allows you to analyze the number of orders assigned to employees of your company or carriers you cooperate with. You can set the parameter using the drop-down list Choose parameter (1).

The total number of orders for each employee or carrier is presented with bars (2) divided into two color sections:

  • blue for orders in progress,
  • red for canceled orders.
The employee's Trans-ID is located next to their name. Next to the carrier TransOffice - their company number.

The numerical and percentage values ​​for each bar show the exact number of orders for a given person or carrier and the percentage share of each order type.

For example, an employee with 20 orders in progress and 5 canceled orders will have the following values ​​visible on the bar: 20 (80%) and 5 (20%).

When you hover over any bar or its part (e.g. only the red part), you will see a tooltip including:

  • Name, surname, employee's TransID (or name and TransOffice of the carrier's company).
  • Order status (in progress or canceled).
  • Exact number of orders with a given status.
  • Percentage share in relation to all orders assigned to this person or company.

For example, employee Jane Doe, canceled orders: 1 which is 5% of all orders added by this employee.

The list of employees/companies is sorted in ascending order, starting with those with the most orders, which allows for a quick comparison of their efficiency.

Clicking on a selected bar on the Total chart affects the data displayed in the Summary table.

Summary table

The table shows information about orders, allowing to track their progress from the moment the order is created to its completion or cancellation.

In the table you can find the following columns:

  • Freight number - unique freight number from which the order was created.
  • Company employee - first name, last name and TransID of the employee who published the freight.
  • Publication date - date of offer publication.
  • Accepted date - date of offer acceptance.
  • Order created date - date of order creation.
  • Company carrier - name of the transport company that decided to handle the order.
  • Loading date.
  • Unloading date.
  • Last action date - date of the last action related to the order (e.g. status update).
  • Status icon - graphically presented current order status (truck - in progress, x - canceled).

The Summary table can display a summary for a selected employee or carrier. Click on any bar in the Total chart and the report will automatically filter the data in the table. Only those orders will be displayed that:
- were added by the selected employee (then only one name will appear in the Company employee column) or
-were handled by the selected carrier (then only one company will appear in the Company carrier column).

Details table

This part of the report will be active when you click on the selected order in the Summary table.

In the table you can see the order details. In the example, these are:

  • Company employee - first name, last name and TransID of the employee.
  • Order number. 
  • Order of freight was created - information about the method of creating the order, along with the date and time.
Depending on what steps will be taken as part of the order, the Details table may include additional details, e.g. preparation, settlement.

Exporting data

You can export report data to external files (Excel or CSV).

To do this, click the Export data button.

The data export is divided into sections of the report. You can select a specific part of the report to download. The names of the files which can be downloaded correspond to the names of the sections in the report.

The Orders list report allows for monitoring of orders, analysis of employee and carrier performance, and process optimization.
