Who can use this function?

Module isavailable to all users of the CargoON line and to users of the TFF (Trans for Forwarders) product line, who have the ARS add-on enabled - solutions that automate the publication of freight offers (fixed routes and automatic rules).

The surcharge mechanism is designed to allow flexible price management over the course of the terms of cooperation. The current price in a freight offer is the result of adding up the base price and surcharges to that price related to weekdays, bank holidays and days off.

Surcharge templates allow you to automate the update of rates in the terms of cooperation. You can edit the surcharge in the template at any time, the changes will be applied to all active terms of cooperation based on that template. This eliminates the need for repeated approval by the carrier.
Weekday surcharges can be set separately for loading and unloading, or for both operations at the same time.

Important!
If a bank holiday in a country falls on a Saturday, and both the Saturday and the day-off surcharges apply, we always use the day-off surcharge.

Add a weekday surcharge template

To add a surcharge template:

  1. Click on the avatar with your photo or initials.
  2. Select Settings from the list.

  1. Select the Fixed routes module in the Settings.
  2. Click on the Add surcharge option.

​For a given currency, you can add many templates with parameters (currency, surcharge type, and kind).​
  1. ​Complete the data, required fields are marked with an asterisk.​

  1. Click the Add surcharge button and fill out the form.

  1. The added template with the surcharge will appear in the list.
  • Click Show date to expand the options for reviewing surcharge information.

If we have an active schedule item, we can add another item with time ranges in the future. The new item will be effective from the start date of the new range, with the new updated surcharge value already in place.

Editing, history and deleting surcharges

In the template, you can do the following for the selected surcharge:

  1. Edit it using the pencil icon.

  • Edit the data in the form, then save the changes.

  1. View the history using the clock icon, the window will show the date range, surcharge and information about the last change and the user who made it.

  1. Delete the template using the recycle bin icon. Once clicked, you will see what happens when you delete the template.
Important!
The weekday surcharge must be attached to the terms of cooperation for it to begin accruing.

Setting days off and bank holidays

The Platform allows you to define a list of days off that are important for the company's operations.
The days off are added manually by specifying the date, country and a custom name, in many cases their recurrence from year to year can also be specified. This makes it possible to apply a surcharge that overrides the surcharge applicable to weekdays.
Example:
If a bank holiday in a country falls on a Saturday, and both the Saturday and the day-off surcharges apply, we always use the day-off surcharge.

To add days off:

  1. Click on the avatar with your photo or initials.
  2. Select Settings from the list.
  3. Select Working time from the list of settings.
  4. Click the Add day button.

  1. Fill in the data, mandatory fields are marked with an asterisk.
  2. Save using the Add day button.

  1. The list includes days off that you can:

- Repeat using the slider

- Edit with the pencil icon

- Delete using the recycle bin icon

Proposal of a fixed route with a weekday surcharge

  1. In the Fixed routes with carriers module, click the Add route button.
  2. Fill out the fixed route form.

  • Add terms with the carrier.
  • Click the Add surcharge button.

  • If templates have already been added in the settings, you can select one from the list.
  • If you do not have any templates ready, you can add a surcharge by filling out the form.

  1. After selecting the appropriate option, click the Add surcharge button.

  • Once added, the surcharge will be visible in the fixed route form.
  1. Click Send to carrier to send the proposed fixed route terms.

  1. Once the terms are accepted, they will be available in the Active tab and the surcharge information will be displayed in the details window.

Add a freight offer with publication to a fixed route

  1. Click the Add freight button on the Platform.
  2. Fill out the form, mandatory fields are marked with an asterisk.
  3. Choose the publication mode - Fixed routes, select a route from the list.

  • If you want to see to which customers the offer will be sent and at what prices, click on Show active companies, you will see the prices with surcharges added (if certain conditions are met), as well as view the surcharge components.

  1. In the list of offers, the Publication price column will show Different publication prices.

  • Click on it to display a window with information on the base rate and the surcharge.

  1. The offer details window also contains information on the publication price. When clicked, the window shown above will be displayed.

  1. Once the carrier accepts the offer, you will see an item in the Surcharges list in the Offer Details window. When you click on it, you will see the base price and the weekday surcharge.

Fixed route proposal with surcharge from the carrier's perspective

Important
By accepting the fixed route terms with a surcharge, you agree that the surcharge rates can be updated over time without having to accept the terms of cooperation again.
  • A weekday surcharge may appear in the fixed route terms if added by the ordering party.

In the list of fixed routes, the price column displays a surcharge icon with additional information based on the configured surcharge.

  • Click on the fixed route in the list to display a window with details and a surcharge icon next to the price.

Freight offers with a surcharge from the carrier's perspective

  • In the Search for loads module, in the list of freights, the Publication price column will also include an icon indicating the surcharge, its type and amount.

  • You can also see the information in the freight offer details tab, under the Details tab, in the Surcharges section.
