Who can use this feature?

The function is available to all users of CargoON and the TFF (Trans for Forwarders) product line who have the ARS add-on enabled - Solutions automating the publication of freight offers (fixed routes and automation rules).

From this article you will learn:

  • how to add surcharge templates,
  • what types of surcharges there are and how to use them,
  • how to edit, view history and delete surcharge templates.

What are fixed route surcharges?

Surcharges allow for flexible price management during the validity of the cooperation terms. This helps you better adjust the service price to the actual conditions of order execution. You can respond in real time to changes in fuel prices, consider additional loading places and maintain stability of long-term cooperation.

Surcharge templates

Surcharge templates allow for automatic rate updates under the applicable terms of cooperation. All you need to do is modify the surcharge in the template and the system will automatically update it in all active contracts based on that template - without the need for carrier re-approval.

The basis for calculating the surcharge is always the date of unloading (for multistop freights - the date of the last unloading).
The date must be within one of the time ranges of the surcharge schedule, otherwise the surcharge will not be applied.

Types of surcharges and how they work

  1. As part of fixed routes, you use the following types of surcharges :

  1. In the surcharge template, you can select one of the three ways to calculate the surcharge:
  • GRID

The surcharge amount depends on the so-called ratio of the current price (e.g. fuel) to the base price.

The base price is the price of fuel on the date on which the carrier accepted the terms. When publishing an offer, the system compares it with the current fuel price - depending on the difference (the so-called ratio), an appropriate surcharge is automatically applied.

Example 1
- Fuel base price: EUR 6.50
- Current fuel price: EUR 6.50
- Ratio = 1,00
The system will assign an appropriate range (the first one) and calculate a 10% surcharge

Example 2
- Fuel base price: EUR 6.50
-  Current fuel price: EUR 7.00
- Ratio = 1,07
The system will assign an appropriate range (the second one) and calculate a 11% surcharge

This method of calculating the surcharge is available for each surcharge type.

  • LINEAR RATE
    The surcharge increases in proportion to the price change - e.g. for every EUR 0.10 increase, the surcharge goes up by 1%.
    This method of calculation is available for surcharge for an additional point of operation and pallet exchange.
  • VALUE

The surcharge is set in advance - for example, EUR 100 for a specific period.

Example:
- Freight base price: EUR 1000
- Surcharge: 10% = EUR 100
- Final price: EUR 1100

This method of calculation is available for surcharge for an additional point of operation, pallet exchange and fuel surcharge.

Add a surcharge template

  1. Click on the avatar (with a photo or initials)
  2. Select Settings.
  3. Select the Fixed routes module in the settings window.
  4. Click Add surcharge.
  5. Select the surcharge parameters (currency, type and kind of the surcharge) and click Add surcharge.

You can add several different templates for a single currency.

  1. Complete the extended form:
  • Surcharge schedule

Specify the time ranges for the surcharge and the way it is calculated (based on the previously selected type). You can add multiple ranges - e.g. surcharges for different weeks or months.

  • Description

Add a brief description to make it easier to identify the template in the list when specifying cooperation details.

  1. Click Add surcharge.
  2. A new surcharge template will appear in the list.
    Click Show date to see information about the duration of the surcharge.

Manage surcharge templates

In the surcharge templates you can:

  1. Edit a surcharge:
  • click on the pencil icon,
  • modify the template,
  • click Save changes
  1. Check the history of surcharge changes by clicking on the clock icon.

The history details shows who made the change and when.

  1. Delete a template:
  • click on the trash icon,
  • confirm/cancel deleting the surcharge template

To disable the surcharge, move the Activity slider to the left.
The disabled surcharge will stop working, but it will not be deleted or archived.
You can enable it again at any time as long as its validity period is still active.
Important!
The surcharge must be linked to the cooperation terms in order to apply.
