Managing contractors

Updated 1 hour ago by Katarzyna

Who can use this feature?

The feature is available to users of the Trans for Forwarders (TFF) and CargoON product lines who have access to the Contractors module.

The Contractors module allows you to consciously build a database of companies you work with: add new companies to the list of contractors, suspend or terminate cooperation, and organize the database using tags and segmentation.

In this article you will learn:

  • who and on what terms can manage contractors,
  • how to add a company to contractors,
  • how to tag contractors to better segment the database.

Permissions in the Contractors module

All permissions in the module depend on the role you have (Full access, Freight management, Order management, Dock Scheduler Manager, Warehouse Manager) and can be additionally enabled by the Administrator in the user account settings.

How to enable permissions?

1. Click on the avatar, go to My company ->Employees.

2. Select an employee from the list

3. Click Manage employee

4. In the Account settings tab, check the box with the appropriate permission.

WHAT DOES IT ALLOW?

Suspending cooperation with a contractor

Suspending and resuming cooperation with other companies.

Managing contractor data

Managing contacts, tagging contractors, adding and editing notes, assigning to groups and exchanges, working on internal data visible only to your company's employees.

Managing contractor status

Suspending and resuming cooperation, blocking, removing a company from the list of contractors.

Adding companies to contractors

Adding a company to contractors allows you to use advanced features such as Private Exchange and helps you control risk by suspending, resuming or blocking cooperation.

You can add both companies that are already users of the Trans.eu Platform and invite external companies.

Adding from the list of companies

Use this method when the company is already visible on the list (e.g. you are on the same exchange).

  1. Go to the Contractors module, to the Companies tab.
  2. Search for a company (by name, VAT or TransID) using the filters available in the columns.
  3. In the Status column, click the plus icon and then Add to contractors.

After adding the company to contractors, its status will be changed to "Contractor". From now on, data regarding your cooperation will be counted.

Adding from the Trans.eu directory search engine

Use this method if the company has no relationship with your company.

  1. In the Contractors module, use the top company search engine, also look at the filters on the columns.
  2. Enter the company name, VAT, city or TransID
  3. Select a company from the list.
  4. Click Add to contractors or Send invitation.
Important: Sending the invitation alone causes the company to appear in "semi-visible" mode. You will see full details only after accepting the invitation.

Tagging contractors

Tagging contractors allows you to add simple, internal labels (tags) to companies that support segmentation and make it easier to select companies when publishing freight. The feature is available to users with the Manage contractor data permission and visible to everyone in your organization.

You can customize tags entirely to your company's needs and processes.

To add a tag to a company:

  1. Search the list for the company you are interested in and click on the plus icon.
  2. Select a label from the available list or create a new one using Create new tag.
How to remove a contractor and suspend cooperation can be found in the article Limiting cooperation with contractors.
