Sharing a time slot with a user from outside the Platform

Who can use this function?

Function available to users of the CargoON product line with access to the Dock Scheduler product and the Schedules module and for users of the TFF (Trans For Forwarders) and TFC (Trans For Carriers) product lines who have access to the Dock Scheduler product and the Bookings module.

  • what happens if a company with the given company details is already registered on the Platform?

Shipper - share a time slot with a carrier without an account

As an ordering party, you can send a booking to contractors who do not have an account on the Trans.eu Platform.

  1. Click on the Add time slot button in the Schedules module.

  1. Complete the form to add a time slot. Click on User without an account above the carrier selection box.

  1. Fill in the additional fields: Company name and E-mail.
    Make sure you enter the correct e-mail address.

  1. When you are finished, click Save.
    Information about creating the time slot will be sent to the address you provided in the form.

  1. Go to the Time slots tab.
    Time slots sent to carriers without an account on the Trans.eu Platform are marked with an envelope icon.

Assigning a time slot to a Contractor

If companies have already been registered on the Trans.eu Platform using the email address you provided, we will show you this information

  1. After submitting a time slot, we will show you a list of companies (one or more) that are registered under the same email address.

Please remember that company identification is based on the company's email address, not the email address assigned to individual user accounts.
  1. Select the company to which you want to send the time slot and click Save.
  2. If the company is not yet on your list of contractors, click the +Add button located in the Add to contractors column to add it.

If your account does not have the option to add companies directly to Contractors, you will see the Send invitation button - the steps are described in the Inviting a company to Contractors section.
  1. Then click Save.

  1. The company you selected will appear in the Carrier field in the time slot creation form.

Inviting a company to Contractors

If the company you want to send the time slot to already has an account on the Trans.eu Platform, instead of sending it via an external link, you can send it an invitation to cooperate.

  1. On the list of companies registered under a given email address, click the Send invitation button next to the selected company.
  2. The invitation module will open - fill in the details.
  3. Click Send invitation.
  4. The invitation will be sent to the selected company. You can check its status at any time in the Contractors module.
Sending an invitation does not mean the company is automatically added to your Contractors. The invited company must accept the invitation in order to appear on your list of Contractors. Until it is accepted, the time slot cannot be transferred directly to that company's account.

Carrier - make a booking for a carrier without an account

Below you will find instructions on how to proceed when trying to make a booking. is having difficulty booking correctly, you can send them a link to this page.

Once you have created a time slot and shared it with a carrier outside of the Platform - they will receive an e-mail from us at the address you provided with the title: New time slot.

  1. To get to the booking page and see their time slot, the carrier must click on Book in the e-mail body.

  1. The carrier will be redirected to a page with the time slot.

To confirm the booking, the carrier must:

  • select the booking time,
  • provide the vehicle number,
  • accept the Dock Scheduler terms of use.

As an option, the carrier can:

  • select a dock in the warehouse to be booked,
  • provide the semi-trailer number,
  • enter the driver's name and/or add the second driver.

If the carrier is a subcontractor, they can tick this option.

If your contractor hasn't received an e-mail, ask them to check the SPAM folder in their mailbox.
  1. Once the data has been entered, the carrier should click the Book button.

As a result, the booking created from the time slot was created for the carrier that does not have an account on the Trans.eu Platform.
