Fixed routes with carriers

Who can use this function?

The module is available to all CargoON users and to users of the TFF (Trans for Forwarders) product line who have the ARS add-on enabled - Solutions automating the publication of freight offers (fixed routes and automatic rules).

The Fixed routes with carriers module is dedicated to companies that regularly need transport on repeatable routes. It enables efficient management of cooperation (both less and more formal and flexible forms of cooperation within fixed routes without a price) and contracts with trusted carriers.

From this article, you will learn how to:

  • create a fixed route,
  • send a fixed route offer to selected carriers,
  • negotiate a fixed route offer with carriers,
  • amend the terms of the fixed route offer.

Creating a fixed route

  1. To create a fixed route for carriers, select the Fixed routes with carriers module on the Platform.
  2. Click the Add route button.

  1. Complete the form for adding a fixed route by entering:
  • required information (in the fields marked with an asterisk): Fixed route name, loading and unloading locations, size and capacity of the vehicle.
  • optionally, you can add information about the vehicle and load details.
  1. After completing the form, click Save fixed route or Add conditions with the carrier if you want to send your proposal to the carrier right away.

After creating a fixed route in the Automatic rules module, a new automatic rule will be created.

Sending a fixed route offer

If you selected Add conditions with carrier when creating a fixed route, you will be automatically redirected to the form to add the carrier.

To add a carrier to an existing route, select it in the Fixed routes with carriers module, and then click the Add carrier button.

  1. Fill in the form to add the carrier to the route.
  • Select a carrier from the list of contractors.

You can select more than one carrier from the list of contractors. All selected carriers will receive an offer of the same terms of cooperation for a fixed route.
  • In each of the selected companies, you can designate a contact person to discuss the terms of a fixed route.
The contact person will receive notifications about events related to this route. If you do not designate contact persons, notifications will be sent to all users from the transport company.
  • Specify the conditions of the fixed route. Enter the reference number, set the price or rate (you can enable the option of negotiation), select the type of surcharge, enter the payment deadline for the service and specify the duration of the terms of cooperation.

  • Optionally, you can select the type of planned transport (required, expected, no more than).
    After making your selection, you will unlock the possibility of detailed transport planning.

  • Optionally, you can add order conditions.
  • Selecting the Automatic order sending option will cause the carrier’s acceptance of the freight to result in the automatic creation of a confirmed order.

  1. After filling out the form, click one of the buttons:
  • Save and close (to save the offer as a draft)
  • Send to carrier (to send the offer to the carrier immediately)

To add another carrier on different terms, select Add another carrier to route.

  1. You can find the sent offers in the Negotiated tab.
In the example, we sent an offer to 3 carriers, proposing a different rate to each. For each contract, we added a fuel surcharge and planned 4 transports. The contract durations are from March 25 to May 31, 2025, and from March 25 to April 30, 2025.

Negotiating an offer

After reviewing the fixed route offer, the carrier can accept it, negotiate or reject the proposed conditions.

If you select the Enable price negotiation with carrier option when setting the price for the route, the contractor can propose their own rate. Such an offer will have the status Accept or negotiate price.

  1. Click on the offer with the status Accept or negotiate price.
  1. You can accept the carrier's offer (Accept), reject it (Reject) or make a counter-offer by entering the rate in the price field and clicking Send.

  1. You can find accepted fixed route offers in the Active tab.

Changing the terms of cooperation with an annex

If you want to make a quick edit to the terms of cooperation (e.g. change the rate), use the annex option. In this way, the annexed terms will be a continuation of the previous ones and you will maintain their continuity.

If you want to make more changes with the same carrier on a fixed route and use the Add carrier option, new terms of cooperation will be created and you will not maintain continuity.

Change the terms of cooperation for the selected carrier using the annex option.

  1. Click on the documents icon.
  1. In the form to annex the contract you cannot change the carrier, but you can change the contact person.

If you create new terms of cooperation (Add carrier option), you will receive information that you already have active terms of cooperation with a given carrier.



In the list of carriers who have received terms of cooperation, the new terms will be saved as a new, separate contract.



The fields you need to fill in are the reference number and the duration of the terms of cooperation.

  1. Enter the changes and click the Send to carrier button.
  2. The amended offer will go to the Negotiated tab.
  3. After the carrier accepts the amended contract, you will find it in the Valid tab.

All amended offers are grouped in a drop-down list, which makes it easier to track the history of changes to the terms of cooperation with a given carrier.

Contracts are grouped by starting date (from the nearest to the furthest), and the collapsed list view displays contracts valid on a given day.

  1. Click the arrow icon to expand the list.
  1. The expanded view displays the next planned versions (annexes) with the status Awaiting.

Archiving terms of cooperation

  1. To archive terms of cooperation, check the box.
