Publication of freight offer to a fixed route

Who can use this function?

Function available to all CargoON line users with the CargoON Freight Platform product.

From this article you will learn:

  • how to publish a freight offer to a fixed route
  • where to edit the list of active carriers on a fixed route
  • what are the two options for automatic publication by order from the list of carriers

Once you have fixed route offers (contracts) accepted by the carrier, you can start publishing freights for the fixed route.

There are two ways to do this:

  • by creating a new freight offer and selecting the publication mode: Fixed routes (more info: Add a freight offer)
  • by entering the details of the selected fixed route and publishing a freight offer for it.

Create a freight to a fixed route

  1. Open the Fixed routes with carriers module and find the fixed route you need in the table. Click on it to open a window with contract details.
  2. Click More and select Create freight. This will open the freight publication form.

  1. Fill in the missing fields. You can also add any vehicle requirements and details you require.

  1. On the right side of the form, you can view the active companies that your publication will reach. Click on Show active companies and then edit their activity or order on the list.

  1. You can also:
  • edit the time of submitting offers,
  • change the contact person,
  • schedule publication for a later date,
  • select the publication by time order (more on this below),
  • save the completed form as a template.

  1. After completing the form, click the Publish freight button to publish the offer to the fixed route.

Publish with variable-price contracts

  1. Go to the Fixed routes module and select the route which you want to publish a freight offer.
  2. Click More and select Create freight. This will open the freight publication form.
  3. Complete the form with additional information. You can either enter a price or publish the offer without a price.

After selecting Show active companies, you can disable companies or change their order in the Carrier list window.

Disabling a company at this stage will only exclude it from a specific freight offer and not from the entire fixed route. Subsequent publications will be available to the full audience again.
If you select the Buy now option, the offer does not require your acceptance. The first carrier to accept the offer will execute the order.

Once you have entered all the information, click Publish freight.

  1. The freight offer can be found in the Freights module under the Added tab.
  2. If carriers make offers to you, notifications will be sent to you. The offers can be found in the freight drawer under the Negotiations tab.

In the Negotiations tab, you can view your negotiations (My negotiations), as well as the negotiations of other employees, provided that they were also indicated as contacts when filling out the Add freight form (Other negotiations). This ensures that the negotiations are made public to all company employees. You can also carry out negotiations using the messenger.
  1. Select a carrier with a rate that suits you best or start negotiating with them.

  • If the carrier offers a rate, you can negotiate it by entering your amount and clicking Send.
  • You can also reject the offer. To negotiate further, you must wait until the carrier withdraws or submits a new offer.
  • If you select Finish the negotiation, it is completed with all employees.

Once accepted, the offer goes to the Accepted tab in the Freights module.

If no carrier responds to your offer, it goes to the Archive tab.

Publish by order from the list of carriers

When publishing a freight offer, you can use two types of publication to the carriers from your list for a given contract / fixed route. This option is especially useful if you want to give your favourite carriers on the list more time to respond to the offer.

  1. In the freight publication form for a fixed route, tick the option: Publish by order from the list of carriers.

  1. Open the edit window (click on Change) to customize the settings.
  1. Specify the time after which the publication of the offer will go to the next carrier on the list.
  2. Choose one of the automatic publishing options.

Pass on to another recipient (sequential publication)

When publishing a new freight offer to a fixed route, you can use the option to publish by order from the list of carriers, and then use the setting: Pass on to another recipient.

What does it mean? Your offer will be received by the first carrier on the list and it will be available for acceptance for the period of time that you specify. When that time expires, the offer will be presented to the next carrier on the list for the same amount of time. After that, the offer goes to the next carriers, sequentially, until it is accepted or the list of carriers is exhausted.

Carriers whose time to accept the offer has expired lose the opportunity to respond to the offer.

This mechanism works sequentially, hence the alternative name: Sequential publication.

How sequential publication works

To publish freight to the subsequent recipients:

  1. Select Publish by order from the list of carriers in the freight publication form, specify the duration of the publication by clicking on Change, then select the Pass on another recipient option in the edit window.

  1. Go to the Freights module and select your offer from the list. Click on it to view the details.
  2. In the Carriers' offers tab, you can see the progress of the publication. A carrier that has just received the publication will see the Awaiting reply status. The counter below informs you how much time they have left.
  3. If there is no response from the carrier, the offer is forwarded to the next one on the list after the time set by you expires. The status for the previous carrier changes to Completed.

If the offer is rejected, it is forwarded to the next carrier on the list, and the status for that previous carrier changes to Rejected.

Gradually add more recipients (expanding publication)

When publishing a new freight offer to a fixed route, you can use the option to publish by order from the list of carriers and then use the Gradually add more recipients setting.

What does it mean? Your offer will be received by the first carrier on the list and it will be available for acceptance for the period of time that you specify. When that time expires, the offer will be presented to the next carrier in the list for the same amount of time. Later, the offer goes to the next carrier, but the previous carriers can still accept it. The list of recipients of the offer is gradually expanded.

Carriers whose time to accept the offer has expired still have a chance to accept the offer, but they will be competing with a larger group of carriers.

This mechanism is based on expanding the recipient group, hence the alternative name: Expanding publication.

How expanding publication works

To publish a freight to a gradually growing group of carriers:

  1. Select Publish by order from the list of carriers in the freight publication form, specify the duration of the publication by clicking on Change, then select the Gradually add more recipients option in the edit window.

  1. Go to the Freights module and select your offer from the list. Click on it to view the details.
  2. In the Carriers' offers tab, you can see the progress of the publication. A carrier that has just received the publication will see the Awaiting reply status. The counter below informs you how much time they have left.
  1. If there is no response from the carrier, the offer is forwarded to the next one on the list after the time set by you expires. The status for the next carrier will change to Awaiting reply, while the previous carrier will be given some additional time.

As a result of this publication, the higher the carrier is on the list, the more time they have to respond to your offer.
