Freight offers on fixed routes

Who can use this feature?

The function is available to users of the Trans.eu Platform with access to the Fixed routes with shippers module (TFF – Trans for Forwarders and TFC – Trans for Carriers product lines).

This article will provide you with the following information:

  • how to collect and handle fixed-route freight offers depending on the payment method,
  • how to negotiate the rate from the offer level and through the instant messenger.

As part of a fixed route, you can receive a freight offer from the shipper. The terms of the offer, including the form of payment, will have been agreed upon in advance.

Freight offer with “Buy now” option

The shipper puts out an offer with a specific price for the freight. If you accept it, the transaction is finalized automatically and does not require confirmation from the shipper. The first carrier that accepts the rate will be responsible for carrying out the order.

All new offers of fixed-route freight will go to the Search load module under the For me tab.
You can find older offers in the Received tab. These offers will be available until the last one is active.

  1. You will be notified when a freight offer is made on a fixed route.
  1. Go to the Search load module in the For me tab.
By clicking on the Fixed routes label, you will open a filter with only those offers.
  1. Click on the offer to check the terms and details of the freight.

When it comes to rates, you can:

  • accept the rate by clicking the Accept button, or
  • reject it by selecting the Not interested option.

If you accept the offer, the transaction will be completed automatically.

You will receive a notification asking you to fill out some preliminary information. At that point, the order will be moved to the Orders module in the Active tab.

If you don’t want to accept the offer, you’ll see a Not interested option in a new window. Click on that, and then confirm your decision. After that the offer will disappear and no one from your company will be able to accept it.

This decision only applies to a specific freight offer, not the entire fixed route.

Freight offer with variable price

Variable price is a flexible form of settlement. The shipper doesn’t set the rate, only the currency.

You can follow all the shipper’s offers and negotiate rates according to the market price.

When publishing freight offers, the shipper can indicate the contact persons from your company who will participate in the freight negotiations. If the shipper does not indicate any employee from your company, the contact person will be the employee who accepts the offer first.
  1. You will be notified when a freight offer is made on a fixed route.
  2. Click on the freight offer for details.

When submitting an offer, the shipper can enter the rate or publish it without price.

In both cases, you can provide your own proposal in the Rates pane:

  • if the rate the shipper suggested doesn’t work for you and you want to negotiate it, or
  • when the shipper didn’t provide the rate.
  1. Enter your proposal and click Send.

After the proposal is sent, it will wait for the shipper’s response.

After submitting your offer, you can also cancel it. Negotiations will resume when you update the rate.

  1. The shipper has decided to negotiate, so now you can: accept their rate, negotiate more, reject their proposal, or end the negotiations.

When submitting a freight offer, the shipper may have indicated several contact persons from your company. Negotiations are open to all employees, which means you can see how your coworkers negotiated.
 In the freight details, click the Negotiations tab and then click Other negotiations.

Negotiating variable-price freight offers in the instant messenger

You can also conduct negotiations via instant messenger.

  1. Click the IM icon

  1. The shipper has rejected your first offer. To continue negotiating, click Propose a rate.

  1. Enter your rate proposal and click Send.

  1. The orderer has accepted your rate.

Automatic freight acceptance after a set amount of time

If the shipper chooses the fixed route option, they can use automatic freight acceptance after a period of time that they set.

In this case, the automatic acceptance message will appear in the offer details. You will also find information on how long it will take for the freight offer to be automatically accepted.

  • If you want to accept the offer before the pre-set time, click the Accept button. 
  • If you don’t want the offer or can’t accept it, just click on the Not interested button.

Additional forms of settlement for fixed routes
 - Rate per ton – most often used in the transport of bulk materials. It can be negotiated or have a “Buy now” option.
- Pallet price list – used when the cargo is specified in number of pallets. The price is based on the fixed price list (Accept the proposed rate)
