Handling bookings in the Transports in realization module

Who can use this feature?

The feature is available to users of the CargoON product line, who have access to the Dock Scheduler and the Schedules module.

From this article you will learn how to:

  • add a freight with a loading or unloading place supported by the Dock Scheduler
  • make a booking in a transport task

Adding a freight offer by the Shipper

  1. Log in to the Platform.
  2. Select the Freights module from the menu and click Add freight.
  3. Fill out the freight form, mandatory fields are marked with an asterisk.
  • In the loading place or unloading place field, enter the details of the warehouse that uses the Dock Scheduler.

  • Expand the option: Show other requirements.
  • Under Vehicle details, enable the GPS Monitoring option by moving the slider to green.
  1. After filling out the form, Publish freight.

Selecting the monitoring option in the offer means that the Shipper requires monitoring. If it is technically possible for the carrier to share the GPS signal, the monitoring will be automatically connected.
  1. The published offer will appear in the Added tab with the Waiting for offers status.

Acceptance of a freight offer by the Carrier

  1. Click on the offer line to view the details, if the offer meets your requirements, click Accept.

  • Vehicle requirements include the information: GPS monitoring required if technically possible. This means that the shipper wants the transport to be monitored via GPS systems.
After accepting the offer with this requirement, at the time of providing the registration numbers of the vehicle or semi-trailer for this transport, the Trans.eu system will check the technical feasibility of monitoring these vehicles through our partners - GPS integrators.

  1. Once accepted, the offer will be moved to the Under negotiation and watched tab, now you are waiting for a decision from the shipper.

Acceptance of an offer by the Shipper

  1. If you receive a response to your offer, the status will change to Select carrier, you can accept, reject or end negotiations.
  2. Click Accept
  3. Once accepted, the freight will be moved to the Accepted tab.

  1. On the Carrier's account, the offer will appear under the Accepted tab in the Search loads module.

When the freight is accepted, the following message will appear on the Carrier's account:

  • Time slot assigned
  • Request for entry execution data
  • Your offer has been accepted

Carrier booking in the Transports in realization module

If the loading or unloading place uses the Dock Scheduler, the carrier should make a booking.

Important!

Important! It is not possible to make a booking on the shipper's account. A message will appear in the window to inform you of this.
The Dock Scheduler is available at some operating locations. The time of these operations is specified in the carrier's booking.

  1. In the Transports in realization module, select the New tab and a task will appear in the list prompting you to enter the relevant data.
  2. Select the task from the list, click Specify (this information will appear when a time slot is set in the offer).
  3. Select Specify.

The Dock Scheduler is available at some operating locations. The time of these operations is specified in the shipper's booking.
  1. Click Book.

  1. Select the date and time of the booking, then click Next.

  1. Complete the fields marked with asterisks to confirm the booking.
  2. Click Add booking.

  1. Save the entered data.

Based on the provided vehicle data, we will verify in partner systems whether GPS monitoring is technically possible.

  1. After verification, a window may appear with information about the possibility of transport monitoring, click Consent to GPS.

Handling bookings and transport by the shipper

After completing all the information, the transport task will be moved to the Active tab, where information about the current status of the task will be appearing until the transport is completed.
  1. Select the transport task from the list, then select the Operations tab in the offer details window, which will display information about individual operations and the booking number.

  1. Go to the Schedules module.
  2. Select a warehouse and a calendar day.
  3. Select a booking with the status Confirmed and click the three-dot menu option, then choose Confirm arrival.

  1. The booking status will change to Pending.

  1.  In a transport task, the status will change On loading.
  2. In the booking, select the Start loading option.

  1. The status will change to Loading in progress.

  1. In the window with details, under the Actions tab, further information will appear regarding when the vehicle arrived and how long it has been on loading.

  1. When finished, click Finish loading in the booking window.

  1. The booking status will change to Loaded. Click Confirm departure.

  1. In the booking window, the status will change to Departure. The information in the notification details will appear - Vehicle has left the warehouse.

  1. After the booking is completed, the status of the transport task will change to En route.

In the Active tab, you can follow the further progress of the transport.
